Receptionist/Administrative Assistant

This is an excellent opportunity to play a key role in patient care in a growing multidisciplinary clinic alongside registered physiotherapists, massage therapists, and other healthcare professionals. This position is a hybrid of reception and administration of a health services office, with a strong focus on optimizing the client experience from first contact to completion of treatment.

As the first point of contact in our reception area, you’ll create a welcoming and supportive environment for our patients. Your responsibilities will include:

  • Schedule appointments and optimize schedule as required
  • Coordinate practitioners’ caseload
  • Answer inbound phone calls, emails, and online inquiries
  • Greet patients and providing exceptional customer service
  • Promote clinic services through active interaction with various referral sources
  • Patient check-in, scheduling appointments, responding to telephone & in-person inquiries
  • General office duties as required
  • Complete third-party forms & letters when required
  • Maintain and administer client charts and profiles
  • Provide support for effective functioning of the clinic, general office organization/cleanliness and administrative support

We are looking for a qualified candidate who is passionate about providing excellent customer service in the healthcare services industry. Please see required qualifications below:

  • Must be fully bilingual (English/French)
  • A recognized medical office or general office administration program diploma, or equivalent work experience
  • Energetic, positive, friendly and outgoing
  • Experience with EMR software is preferred, proficient with computers
  • Payment processing experience through various methods including direct billing with affiliated insurances
  • Ability to work independently and take initiative.
  • Able to analyze processes and workflows and identify issues and possible improvements
  • Detail-oriented, organizational skills, quick learner
  • Adaptable and able to anticipate changing workflow
  • Punctual, reliable, and flexible
  • Passion for health, wellness and helping others
  • Able to work well in a team environment, able to learn well from others
